1. Who we are

SnapCheck is a product of AIforIndustry, a UK-based software company. Our registered contact address is available on request at [email protected]. We operate the web application available at www.aiforindustry.co.uk (the "App").

2. What data we collect

We collect only the data necessary to provide the SnapCheck service:

• Account information — your name and email address, provided when you sign in via Manus OAuth.
• Photos you upload — images of equipment or areas you submit for inspection. These are stored securely in cloud storage and used solely to generate your inspection report.
• Inspection reports — the AI-generated reports produced from your uploaded photos, stored against your account so you can review them later.
• Location data (optional) — if you permit location access, the GPS coordinates of where a photo was taken may be recorded and displayed on the inspection map. You can deny location permission at any time in your device settings.
• Document uploads (Smart Manuals) — files you upload to the Smart Manuals feature are stored securely and used only to answer your queries.
• Usage data — standard server logs including IP address, browser type, pages visited, and timestamps, used for security and performance monitoring.
• Payment information — if you subscribe to a paid plan, payment is processed by Stripe. We do not store your card details; Stripe handles all payment data under their own privacy policy.

3. How we use your data

We use your data to:

• Provide and operate the SnapCheck inspection and Smart Manuals services.
• Generate AI-assisted inspection reports from your uploaded photos.
• Manage your account, subscription, and billing.
• Send transactional emails (e.g. subscription confirmation, trial expiry notices).
• Improve the App's performance and fix technical issues.
• Comply with our legal obligations under UK law.

We do not sell your data to third parties, use it for advertising, or share it with any party other than those listed in Section 4.

4. Who we share data with

• Manus (manus.im) — our hosting and AI infrastructure provider. Your data is processed on Manus servers under their data processing agreement.
• Stripe — payment processing for paid subscriptions.
• Cloudflare — CDN and DDoS protection; processes traffic passing through our domain.

All third-party providers are required to handle your data in accordance with applicable UK data protection law.

5. AI processing of images

Photos you upload are sent to an AI language model to generate inspection reports. Images are not used to train AI models and are not retained by the AI provider beyond the duration of the request. All AI-generated reports are clearly marked as AI-assisted and are not a substitute for assessment by a competent person under PUWER, LOLER, or other applicable UK health and safety legislation.

6. Data retention

• Inspection photos and reports — retained for as long as your account is active. You may delete individual reports at any time from within the App.
• Account data — retained until you request account deletion.
• Server logs — retained for up to 90 days for security purposes.

7. Your rights (UK GDPR)

Under the UK General Data Protection Regulation (UK GDPR), you have the right to:

• Access the personal data we hold about you.
• Correct inaccurate data.
• Request deletion of your data ("right to be forgotten").
• Restrict or object to processing of your data.
• Data portability — receive your data in a machine-readable format.
• Withdraw consent at any time where processing is based on consent.

8. Cookies

We use a single session cookie to keep you signed in. We do not use tracking cookies, advertising cookies, or third-party analytics cookies. No cookie consent banner is required as we use only strictly necessary cookies.

9. Security

All data is transmitted over HTTPS. Uploaded files are stored in access-controlled cloud storage. We follow industry-standard security practices and review them regularly.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be notified via the App or by email. The date at the top of this page indicates when it was last updated. Continued use of the App after changes constitutes acceptance of the updated policy.
